LLC ENGINEERING CORP. is a leading engineering company in Ukraine that designs and supports the construction of residential, commercial, and infrastructure facilities.

Due to complex approvals and a large volume of correspondence, it was difficult for the company to process documents and track their status. To speed up processes and bring order, the company decided to implement a unified digital document management system.

PROJECT OBJECTIVES

Organize the company’s document workflows to speed up task execution. Since the client was still shaping the vision for new processes, we structured them from scratch.

We also prepared the client’s team separately: adapted the vendor’s English-language materials and conducted training.

Create a centralized document repository.
Configure approval of contracts and documentation.
Separate access rights to protect information.
Automate correspondence processing.

IMPLEMENTATION APPROACH

CREATED A CENTRALIZED
DOCUMENT REPOSITORY

We created a unified database where each document is stored together with a set of metadata (facility name, date, counterparty, status, etc.). This turned a chaotic set of folders into an organized electronic archive. Now any contract or project drawing can be found in seconds by entering a key parameter.

AUTOMATED CORRESPONDENCE

We integrated M-Files with the company’s mailboxes so that all incoming and outgoing emails are registered automatically. We also configured processing routes that forward correspondence to responsible employees.

CONFIGURED DOCUMENT APPROVAL
AND ACCESS CONTROL

We developed separate approval scenarios for different types of documentation: contracts, project documents, and financial requests. The system shows who a document is “stuck” with and how long it has been there. The “I did not see the document” excuse no longer works. In parallel, we implemented an access management system. Thanks to role configuration, each employee works only with the documents required for their tasks.

IMPLEMENTED A CLOUD ARCHITECTURE

Business continuity

Engineers can work with documents even at field sites – remote access allows files to be processed from anywhere in the world.

Security amid wartime risks

Cloud data storage ensures data integrity even if office infrastructure is physically damaged.

Data protection

The system meets security and compliance requirements (ISO/IEC 27001:2022, ISO 9001:2015, SOC 2 Type II, GDPR), ensuring reliable information protection.

IMPLEMENTATION RESULTS

After seeing the first results, the client better understood the system’s capabilities, so we refined approval routes and access logic during implementation. Despite the new requirements, the system was launched in 4 months.

Work is now transparent: it is clear who received a document, where it is located, and how long it has been in processing. This simplified the team’s work and created a foundation for further automation.
