CONTRACT MANAGEMENT
OPTIMIZE THE FULL DOCUMENT WORKFLOW

  • Automatic document generation from templates
  • Contract management from creation to performance control
  • Sending documents to counterparties directly from the system
  • Signing contracts with e-signature

WHAT SLOWS DOWN CONTRACT WORK

Lengthy signing timelines

A contract passes through several approval levels. Signing is delayed, and the business loses time and profit.

High contract processing costs

Approving and checking contracts takes managers’ time, while manual-entry errors increase costs.

Risk of unmet obligations

Without contract status tracking, deadlines are missed. As a result, delays occur and partners’ trust is undermined.

ACCELERATE DOCUMENT SIGNING AND APPROVAL

Contract Management is a BPM-platform-based solution that easily adapts to company processes and scales with the business. The system allows you to:

  • track contract task execution;
  • control deadlines;
  • keep change history;
  • ensure visibility for management;
  • connect new processes through flexible integrations.

The solution gives control over every step in contract work and optimizes business processes.

BENEFITS OF CONTRACT MANAGEMENT AUTOMATION

SIMPLIFY CONTRACT MANAGEMENT
FROM A TO Z

Creation

Documents can be created directly in the system. You fill in the contract content, and the solution automatically selects a template from the register and pulls data from CRM, accounting or HR databases.

A contract can also be generated instantly in several languages.

Approval

The system compares the document with the template and creates a route. Only specialists whose sections were changed are involved in approval.

For convenience, parts of the text are color-coded according to departments’ areas of responsibility.

Registration

After approval, the contract is registered and sent to the counterparty via an exchange service, a link or email.

If the partner makes edits, the system launches repeated internal approval. The final signed document is sent to storage.

Performance control

All deadlines and contract steps are visible in its card; to close a stage, simply add a completion certificate.

The system notifies management about deadlines or delays. This helps control fulfillment of obligations and renew contracts on time.

What is contract management automation?

Contract management automation covers the entire contract lifecycle: creation, approval, signing, registration, storage, monitoring of compliance with obligations, archiving, and destruction.

The system covers the creation of a contract, approval, registration, sending it to the counterparty, signing, storage, and monitoring of compliance with the terms and deadlines.

Yes. Contracts are generated directly within the system using templates, and the necessary data can be automatically imported from CRM, accounting, and HR systems. The system also allows for the creation of contracts in multiple languages.

The system automatically generates an approval workflow and sends tasks to the responsible employees. The approval process can be sequential, parallel, or a combination of both. The system determines the workflow and the responsible parties based on the terms and conditions of the contract. If specific sections of the contract are modified, only the relevant specialists can be included in the approval process.

Yes. Contracts can be signed using a digital signature. A digital signature gives the contract legal validity and protects it from unauthorized changes. In addition, documents from other services—Vchasno, M.E.Doc, EDIN, and Document.Online—can be imported into the system for subsequent controlled storage of legally significant documents.

The contract card displays all deadlines and milestones for contract execution. The system sends notifications about upcoming deadlines or delays, helping you meet your obligations on time and renew contracts.

Yes. The system supports two-way automatic exchange of data, documents, and reference information with ERP, CRM, and other corporate systems. This reduces the amount of manual data entry and the number of errors associated with it.

Contracts and attachments are stored in a single registry. Searches can be performed using filters, subject-specific folders, full-text search, and an AI chatbot, while access to confidential information is controlled through access rights and encryption. The document linking feature allows users to view all materials related to, for example, the performance of a contract—such as invoices, delivery notes, certificates, minutes, letters, reconciliation statements, and reports—within a single interface.

If the counterparty makes changes, the system initiates a new round of internal approval. The feature that compares the previous and current versions helps track changes. After final approval and signing, the final version of the contract is archived.

Yes. Users with the appropriate permissions can modify process logic and routes on their own using a graphical editor, without any special technical training.
